*About the Role*
We are seeking a professional, highly organized, and proactive Personal Assistant & Portfolio Manager to provide high-level administrative, organizational, and coordination support to the Group Lead.
The successful candidate will ensure the effective management of schedules, correspondence, meetings, documentation, and day-to-day priorities while coordinating operations across a diverse portfolio of businesses, projects, and initiatives (including commercial production, construction, education, sports administration, and brand management).
You must thrive in a dynamic environment, exercise absolute discretion, and remain capable of managing multiple priorities under pressure while maintaining a high level of professionalism and confidentiality.
*Key Responsibilities*
1. Executive Support
– Manage the Group Lead’s calendar, appointments, meetings, and daily schedule.
– Coordinate meetings, prepare agendas, and ensure timely follow-up on action points.
– Manage correspondence, emails, calls, and other communications on behalf of the Group Lead.
– Prepare, review, and organize reports, presentations, documents, and briefing materials.
– Follow up on assignments and commitments to ensure timely completion.
*Portfolio & Business Operations Coordination*
– Coordinate day-to-day activities and track project milestones across various corporate entities and multi-sector operations.
– Assist with oversight of commercial manufacturing workflows, inventory tracking, and distribution.
– Monitor construction and property project timelines, communicate with site supervisors, and organize documentation.
– Support institutional and administrative workflows across educational and sports management initiatives.
– Assist with vendor communications, requisition requests, payment workflows, and stakeholder event planning.
*Administration and Confidential Support*
– Maintain organized physical and electronic records and confidential documents.
– Arrange travel, accommodations, and logistical requirements.
– Coordinate with internal departments, clients, service providers, and external stakeholders.
– Handle confidential errands, documentation, and tailored personal administrative requests with strict discretion.
*Job Requirements & Qualifications*
– Education: Minimum of Senior Six (A-Level certificate) and above.
– Age Limit: Candidates should be 28 years old or younger.
– Experience: Prior experience in a related administrative or operational executive support role is an added advantage.
– Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
– Communication & Work Ethic: Excellent written and verbal communication skills, high attention to detail, flexibility with working hours, and the ability to work comfortably under pressure.
